Privacy Policy

This policy explains how mytio2.com handles information collected when you visit the site, request documents, submit an RFQ, contact our export team, or otherwise communicate with us about titanium dioxide supply. It applies to the website at mytio2.com and to the B2B communication channels listed in this policy.

Who We Are

mytio2.com is operated by IKHLAS TITANIUM (MALAYSIA) SDN. BHD., a Malaysia-based rutile titanium dioxide manufacturer located at NO.33 Industrial Perusahaan Ringan Tupai, 34000 Taiping, Perak, Malaysia. Throughout this policy, "we", "us", and "our" refer to IKHLAS TITANIUM (MALAYSIA) SDN. BHD. References to "you" mean any business visitor, prospective buyer, sample requester, document requester, or other party interacting with mytio2.com or our export team.

Our European Union Only Representative under Article 8 of REACH is Chemical Inspection & Regulation Service Limited, Regus Harcourt Centre, Dublin D02 HW77, Ireland. For privacy questions relating to EU/EEA data subjects, you may also contact our EU Only Representative.

Information We Collect

We collect information that you voluntarily submit through our forms and direct communications, and limited technical information that is automatically generated when you visit the site.

Information you submit directly:

  • Request Quote form: company name, business email, company website, application, target TiO2 grade, estimated monthly volume, destination port, and your free-text message.
  • Request Documents form: company name, business email, country, application, and the specific documents you request.
  • Request Sample form: company name, business email, country, application, target grade, and shipping address.
  • Contact page: the inquiry type you select (Sales, Technical, Logistics, General) and the email address you write to, plus any message body.
  • Direct emails to sales@mytio2.com, technical@mytio2.com, logistics@mytio2.com, or info@mytio2.com.

Information collected automatically when you visit the site:

  • Server logs: IP address, browser type and version, operating system, referring URL, pages viewed, and timestamps.
  • Cookies: see our Cookie Policy for the full list, including Microsoft Clarity cookies, and how to manage your preferences.
  • Aggregated analytics: page views, session counts, and approximate geographic region (country-level only). We do not collect precise geolocation.

How We Use Your Information

We use the information you submit for B2B business purposes only:

  • To respond to your inquiry, prepare a quotation, recommend a suitable TiO2 grade, or arrange a sample shipment.
  • To send the technical documents you request (TDS, SDS, COA, COO, REACH-related documents, FDA-related documents where applicable, and shipment documents).
  • To coordinate export logistics and communicate shipping information through our export team.
  • To maintain our commercial records, accounting, and after-sales follow-up.
  • To keep you informed about changes to our product range, documentation, or terms, where you have an existing commercial relationship with us.

We do not use the information you submit for consumer advertising, automated profiling that produces legal or similarly significant effects on you, or any form of mass marketing to individual buyers. Where we send commercial communications, they relate to your existing inquiry or commercial relationship, and you can ask us to stop at any time.

Legal Basis for Processing

For visitors from the European Economic Area, the United Kingdom, or other jurisdictions that require a legal basis for personal data processing, we rely on the following grounds under the General Data Protection Regulation (GDPR) and equivalent laws:

  • Pre-contractual and contractual necessity: when you submit an RFQ, request a sample, request documents, or ask us to prepare a quotation, we process your information to take steps at your request prior to entering a contract, and to perform any contract we subsequently enter into with you.
  • Legitimate interests: to operate, secure, and improve mytio2.com, to maintain business records, to prevent fraud or abuse, and to communicate with existing customers about our product range and documentation, where our interests are not overridden by your fundamental rights.
  • Legal obligation: where we must retain or disclose information to comply with applicable law, accounting rules, customs and export controls, REACH-related obligations, or court orders.
  • Consent: where we ask for your explicit consent for optional processing (for example, certain analytics cookies), and you can withdraw that consent at any time without affecting prior lawful processing.

Cookies and Analytics

We use a small number of cookies and similar technologies. Necessary cookies keep the site working (such as remembering form state during a session). Analytics cookies are off by default and only set after you accept them through the cookie banner or preferences modal. Marketing cookies are not currently used and remain off by default.

For a full description of each cookie, its provider, its purpose, and its retention period, see our Cookie Policy. You can review or change your choices at any time through the cookie preferences control.

Microsoft Clarity

We use Microsoft Clarity, a session replay and heatmap analytics service provided by Microsoft Corporation, to understand how visitors use our pages (for example, which sections are read most, where scroll depth drops, and whether forms are abandoned). Clarity may collect information about your device, browser, pages visited, mouse movements, scroll position, and clicks. Clarity masks form fields marked as sensitive by default and does not capture values typed into those fields.

Clarity is off by default. When you accept Analytics Cookies through the cookie preferences control, Clarity begins to set cookies (_clck, _clsk, CLID, ANONCHK, MR, MUID, SM) and stores session data. If you reject Analytics Cookies, Clarity does not set analytics cookies and the consent state is forwarded to the Clarity tag as "denied" so that no analytics cookies are written. You can change your choice at any time through the cookie preferences control.

Microsoft may process data collected by Clarity in regions it operates, including the United States and the European Union. For more information, see Microsoft's Privacy Statement.

Contact and RFQ Forms

Forms on mytio2.com are submitted to our export team and forwarded to a secure mailbox. The Request Quote form is also submitted through Web3Forms, a third-party form submission service, which acts as our data processor and routes the submission to our mailbox.

Sensitive fields on the RFQ form (such as the free-text message) are masked from session replay tools. We use the information from these forms solely to respond to your inquiry and to maintain a record of our commercial communication, in line with the purposes described in this policy.

How We Share Information

We do not sell personal information. We share information only with the following categories of recipients, to the extent necessary for the purposes described in this policy:

  • Service providers: Microsoft (Clarity analytics), Web3Forms (form submission routing), Vercel (site hosting and edge analytics), and Google Workspace (mail and document storage). Each provider processes data on our behalf under a written agreement and only for the services it provides to us.
  • Logistics partners: shipping lines, freight forwarders, and customs brokers, where you request a sample shipment or an order shipment.
  • EU Only Representative: where you are an EU/EEA data subject and we receive a privacy request through our EU OR.
  • Authorities: where we are required to disclose information by law, regulation, court order, or applicable export-control or REACH-related obligation.
  • Business transfers: where we sell, merge, or reorganize part of our business, the information may be transferred to the relevant counterparty under confidentiality and data-protection terms no less protective than this policy.

Otherwise, we do not share your information with third parties without your consent.

International Data Transfers

We are based in Malaysia and operate globally. When you submit information to us, your information may be transferred to and processed in countries other than your country of residence, including Malaysia, the United States, and the European Union. Where required by applicable law (for example, GDPR Articles 44-50 for transfers out of the EEA), we rely on appropriate safeguards such as Standard Contractual Clauses, adequacy decisions, or other lawful transfer mechanisms, and we conduct transfer-impact assessments where appropriate.

Where you are in the EEA or the UK and have questions about international transfers or the safeguards in place, please contact us using the details in the "Contact Us" section below.

Data Retention

We keep your information only for as long as needed for the purposes described in this policy, or as required by law. Typical retention periods are:

  • RFQ submissions and related commercial correspondence: up to 7 years from the last interaction, to support quotation follow-up, accounting, and export documentation.
  • Sample requests: up to 5 years from the last shipment.
  • Server logs: up to 90 days, unless required for longer for security investigations.
  • Microsoft Clarity session data: as described in Microsoft's Privacy Statement; Clarity provides configurable retention, and we keep it at the shortest reasonable setting.
  • Aggregated, non-identifiable analytics: retained indefinitely.

Where you ask us to delete information and we have no legal basis to retain it, we will delete or irreversibly anonymize it within a reasonable period.

Your Rights

Depending on your jurisdiction, you may have some or all of the following rights regarding the personal information we hold about you:

  • Right of access: to ask whether we hold information about you and to receive a copy.
  • Right to rectification: to ask us to correct inaccurate or incomplete information.
  • Right to erasure: to ask us to delete information we hold about you, subject to legal retention obligations.
  • Right to restrict or object to processing: in certain circumstances, including for direct marketing.
  • Right to data portability: to receive your information in a structured, commonly used, machine-readable format.
  • Right to withdraw consent: where processing is based on consent, you can withdraw it at any time without affecting prior lawful processing.
  • Right to lodge a complaint: with your local data protection authority.

To exercise any of these rights, contact us using the details in the "Contact Us" section below. We may need to verify your identity before acting on your request.

Data Security

We use reasonable technical and organizational safeguards to protect the information you submit. These include HTTPS for all site traffic, access controls on the mailboxes and document stores that receive form submissions, two-factor authentication on critical accounts, and periodic review of access permissions. No system is perfectly secure; we will notify affected users of material breaches where required by law.

Third-Party Links

mytio2.com may link to third-party websites, including industry directories, regulatory pages, and partner documents. We do not control those websites and are not responsible for their privacy practices. We encourage you to read the privacy policy of each site you visit.

We may update this policy from time to time to reflect changes in our practices, our service providers, or applicable law. The "Last updated" date at the bottom of this page shows when the most recent change took effect. Material changes will, where appropriate, be announced through a notice on the home page or by email if you have an active commercial relationship with us.
